Import From Other FieldKit Apps
Import a backup JSON exported from Quote Generator, Invoice Tracker, or Mileage/Job Tracker. Matching clients (by name) are merged; new clients get a proper unique ID and an inferred lead status based on their most advanced quote/invoice/job. Follow-up jobs in Mileage/Job Tracker also create a CRM reminder automatically. Safe to re-run — re-importing an updated backup updates existing entries rather than duplicating them. Expense Tracker isn't supported — its expenses aren't linked to a specific client.

What is FieldKit Client CRM?

A hub that ties a client's whole relationship together — multiple sites, lead status, follow-up reminders, notes, and service history — across all your FieldKit apps. It works standalone, or alongside Quote Generator, Invoice Tracker, and Mileage/Job Tracker via one-way import.

Quick Start

  1. Click + Add Client top-right and fill in their details.
  2. Open the client and add a Site if they have more than one job address.
  3. Move them along the Lead Status track as the relationship progresses.
  4. Log a Timeline entry for each quote, invoice, call, or visit.
  5. Add a Reminder for anything you need to follow up on.
  6. Check the Dashboard regularly — Needs Action is your daily to-do list.

Lead Pipeline

Click a client to open their detail panel, then click a stage on the status track to move them through: New → Contacted → Quote Sent → Quote Accepted → Active Client. Mark as Lost any time — a Lost client is never auto-promoted by an import, even if new activity comes in for them.

Contact Details, Tags & Search

Each client has phone, email, address, preferred contact method, best time to reach them, and a service area/suburb — handy for grouping clients by region. Tags are searchable: type a tag into the Clients search box, or click a tag chip on a client's detail panel to filter the list down to everyone sharing it.

Sites

Add multiple sites under one client — useful for property managers, builders, or any client with more than one job address. Click the pencil icon on a site to edit it; you don't need to delete and re-add it for small changes. Flag a site as a hazard (pets, asbestos, difficult access, gate codes) and it shows a clear warning badge right on the site card.

Do Not Service

Flag a client as Do Not Service from their detail panel (with an optional reason) if you won't work for them again — non-payment, a dispute, anything. It shows as a persistent red banner on their record and a badge in the client list, so you never accidentally take a job from them again.

Reminders & Needs Action

Add reminders (call back, resend quote, follow up) with a due date. Three things surface on the Dashboard's Needs Action list automatically: overdue/due-today reminders, stale "Quote Sent" leads (no movement in X days — set the threshold in Settings), and overdue recurring service items (see below). Click any item to jump straight to that client.

Timeline & Notes

Log notes, calls, visits, quotes, invoices, expenses, or mileage against a client (and optionally a specific site) to build a full service history. Use the quick-note box for a one-line note, or "+ Add Entry" for anything with a date, type, amount, or equipment details.

How do I... set up a recurring service reminder?

Add a Timeline entry and fill in the Equipment Note and Next Due Date fields near the bottom of the form (e.g. "Hot water system" due in 12 months). Once that date arrives, it automatically appears on the Dashboard's Needs Action list. Logging a new entry for the same equipment on the same client clears the old reminder and starts the cycle again — no manual cleanup needed.

How do I... track whether a client pays on time?

Add a Timeline entry and set Type to "Invoice" — this reveals a Payment Due Date and Date Paid field. Fill in the due date when you invoice, and come back to fill in the date paid once they've actually paid (leave it blank until then). The client's Payment Reliability badge updates automatically once there's enough history.

VIP Clients & Lifetime Value

Lifetime Value is the running total of every "Invoice" type Timeline entry for a client. Once it crosses the VIP threshold (set in Settings, default $2,000), they're automatically badged as VIP throughout the app. This is separate from Lead Status — a client can be an "Active Client" without being VIP, or vice versa.

Backups & Importing

  • Settings → Export Backup saves all your CRM data to a JSON file. Do this regularly.
  • Settings → Import Backup restores a previous CRM backup (replaces current data — use to restore, not to merge).
  • Settings → Import From Other FieldKit Apps reads a Quote Generator, Invoice Tracker, or Mileage/Job Tracker backup and merges its clients/quotes/jobs/trips into this CRM. It's safe to re-run as new data comes in — matching records are updated, not duplicated, and a client's Lead Status will move forward automatically as their real progress catches up (it never moves backward, and never touches a client marked Lost).
  • Expense Tracker isn't supported for import — its expense entries aren't linked to a specific client, only an optional free-text job code, so there's nothing reliable to match against.

Settings Reference

  • Currency — controls the $ symbol shown throughout the CRM. Importing a backup from another FieldKit app automatically switches this to match.
  • Stale quote threshold — how many days a "Quote Sent" lead can go quiet before it's flagged on the Dashboard.
  • VIP threshold — the Lifetime Value a client needs to reach before being badged VIP.

Troubleshooting

A client's Lead Status didn't change after importing. Status only ever moves forward, and only if the imported data shows more progress than the client's current stage. If they're already further along in the CRM than what you just imported, nothing changes — that's expected. A client marked Lost is never auto-promoted.

A recurring service reminder isn't showing up. It only appears once the Next Due Date on a Timeline entry's equipment fields is today or in the past — check the date you entered.

An imported entry shows the wrong type (Quote vs Invoice). The CRM trusts the source document's Type field exactly as set in the original app — if that looks wrong, the fix is in the source app, not here. Re-import after fixing it there.

Your data stays local

Everything is stored in your browser's localStorage. Nothing is sent anywhere. Back up regularly — clearing browser data will erase it.
