📄 Day-to-Day Flow

Create a Quote
Fill in the form on New Quote / Invoice. The preview updates live as you type. Hit 💾 Save to Jobs and it appears instantly in All Jobs as a Draft.

Send it to your client
Open the job and hit ↓ Save PDF to download it. Then click the Sent pill in the Status row to mark it sent.

Client approves
Click the Approved pill once they've confirmed. If they've paid a deposit to lock in the job, you can record that now too — see the Deposits section below.

Do the work, then convert to invoice
Once the job's done, open the quote and hit → Convert to Invoice. This opens a pre-filled invoice form — same client, same line items, today's date, a fresh due date, and the invoice number automatically matched to the quote (Q-001 → INV-001). Review it, adjust anything that changed on-site, then hit 💾 Save to Jobs. The quote stays in All Jobs as a permanent record, now marked ✓ Already Converted.

Record payment
Open the invoice in All Jobs and use the Record Payment section — enter the amount, method, and date (you can backdate it if needed). Status flips to Paid automatically once the full balance is covered.
💰 Taking Deposits on Quotes
If a client pays something upfront to confirm a job — before it's even invoiced — you can record that directly on the quote.

Open the quote and use the Record Deposit section — it works just like Record Payment, but lives on the quote.

A quote can never show as fully "Paid" — that status is reserved for invoices. If a deposit covers the full quoted amount, you'll see a 💰 Pre-Paid badge next to the status instead.

When you convert the quote to an invoice, the deposit moves with it automatically. The new invoice opens already showing the deposit as paid, with a note like "Includes $50.00 deposit from Q-001". The quote's own copy of that payment gets struck through with a "→ transferred" label, so it's never counted twice.

If a deposit would push the total above the quoted amount, you'll get a confirmation prompt before it's recorded — useful if a customer genuinely wants to prepay in full, but a safety check against accidental over-entry.
📊 Quote & Invoice Stages

The → Convert to Invoice button only appears once a quote is Sent or Approved — not on Drafts, since you can't invoice for a quote the client hasn't seen yet.
OverdueDue date passed without full payment. Updates automatically when you open the app or save a job.
📈 Reading the Dashboard
The top four numbers (Total Jobs, Revenue, Collected, Outstanding) only count invoices — quotes aren't included, so a quote that's been converted to an invoice is never counted twice.
The Pipeline chart further down shows everything — quotes and invoices together — across all 6 stages, so you can see where work is sitting in the full process.
The Clients table also only counts invoices — a client with quotes out but nothing invoiced yet won't appear there until their first invoice is saved.
💾 Backup & Restore
All data is stored in your browser's local storage — it stays on your device. Use Settings → Export Backup regularly to save a copy to your Downloads folder. If you clear your browser data, you'll need your backup file to restore.
