Go to Settings and enter your business name and currency
These pre-fill on every job. Takes 60 seconds.

Enter client name, job total, and set status to Quote.

📊 The 6-Stage Pipeline
Every job moves through up to 6 stages. Click any stage in the detail panel to move a job there instantly.
QuoteYou've prepared a quote but haven't sent it yet.
SentQuote has been sent to the client, waiting on approval.
ApprovedClient said yes — work is scheduled or underway.
InvoicedWork is done, invoice sent, waiting for payment.
PaidPayment received in full. Job complete. 🎉
OverdueDue date has passed without full payment. Automatically set by the app.
📋 All Jobs Tab
Search bar — searches across job number, client name, description, and address in real time.
Status pills — click any pill (Quote, Sent, Approved, Invoiced, Paid, Overdue) to filter the table to that status. Click multiple pills to combine them (e.g. Invoiced + Overdue shows everything awaiting payment). Click All to reset.
Client filter — show all jobs for one client.
Column headers — click any column header to sort. Click again to reverse.
Stats bar — the chips on the right update live to show totals for whatever is currently filtered.
Click a row — opens the job detail panel on the right.
✏️ / × buttons — appear on hover for quick edit or delete without opening the panel.
🔍 Job Detail Panel
Status Pipeline — click any stage pill to instantly move the job to that status.
Financials — shows quote total, tax, invoice total, amount paid, and remaining balance at a glance.
Record Payment — enter an amount, choose a payment method (Bank Transfer, Cash, Card, Cheque, PayPal, Other), and hit + Record. You can record multiple partial payments — each one is saved with its date and method.
Auto paid status — when total payments reach the invoice total, the job automatically moves to Paid.
Notes — add timestamped notes to any job (site access details, client requests, follow-up reminders etc).
Duplicate — creates a copy of the job as a new Quote, useful for repeat work or similar jobs.
📈 Dashboard Tab
Period filter — switch between All Time, This Year, This Quarter, and This Month.
KPI cards — total jobs, revenue (invoiced value), collected (payments received), and outstanding with overdue count.
Pipeline bars — see how many jobs and how much money sits at each stage.
Monthly Revenue chart — last 6 months of cash collected, current month highlighted in yellow.
Overdue panel — lists overdue jobs with days overdue and outstanding balance. Click any to open it.
Payment Log — every payment recorded across all jobs, newest first. Has two filters: a date range (Last 30 days / Last 90 days / This year / All time — defaults to Last 30 days) and a payment method filter. Shows total collected, this month, average days to pay, and a breakdown by method. The payment count in the header updates to reflect the current filter.
Aged Receivables — shows all unpaid invoices and overdue jobs bucketed into Current, 1–30, 31–60, 61–90, and 90+ days. Always reflects today’s date regardless of the period filter. Each bucket is colour-coded — yellow at 1–30 days, orange at 31–60, red at 61+ days. Click any row to open that job.
↓ CSV Export
All Jobs toolbar (↓ CSV) — exports whatever is currently visible in the job table. Use the status pills and client filter first to get a targeted export — e.g. click Overdue then export, or filter to one client to get their full job history.
Aged Receivables (↓ CSV) — exports the full aged receivables report as of today: job number, client, description, due date, days overdue, aging bucket, and outstanding balance. Useful to send to your bookkeeper as a clear picture of who owes you money — the file saves to your Downloads folder.
Payment Log (↓ CSV) — exports payments matching the current date range and method filters. So if you have Last 30 days + Bank Transfer selected, that’s exactly what exports. Columns: date, job number, client, payment method, and amount.
💡 CSV files open directly in Excel, Google Sheets, or Numbers. Your bookkeeper can use the exported data to reconcile payments and prepare your BAS or tax return. All exports save to your browser's Downloads folder — on Windows: C:\Users\[Name]\Downloads — on Mac: ~/Downloads.
👥 Clients
The Clients card on the Dashboard shows every unique client with their total jobs, invoiced value, amount paid, and outstanding balance — sorted by highest invoiced value.
View Jobs button — jumps to the All Jobs tab filtered to that client’s jobs.
Delete button — permanently removes the client and all their linked jobs. You’ll be shown how many jobs are linked and asked to confirm before anything is deleted.
Overdue badge — a red pill shows how many of that client’s jobs are overdue.
💡 Tip: Clients are created automatically when you add a job — there’s no separate client setup needed. To rename a client, edit any of their jobs and update the client name field.
➕ Adding & Editing Jobs
+ Add Job button — top right of the screen. The doc number, date, and status are pre-filled automatically.
Quote Total — enter the amount before tax. Tax is calculated automatically using the rate in Settings.
Payment Received — if the job is already paid when you're adding it, enter the amount and method here. It will be recorded as a payment entry and show up in the Payment Log.
Doc Number — auto-generated from your prefix in Settings (e.g. Q-101). Change it to anything you like.
Editing — click ✏️ Edit in the detail panel or hover a row and click ✏️. All fields are editable.
💾 Backup & Restore
Your data is saved automatically in your browser's local storage. It stays there until you clear your browser data.

To protect your data: go to Settings → Export Backup regularly. This saves a .json file to your browser’s Downloads folder with all your jobs and settings.

Where is my Downloads folder?
Windows: C:\Users\[YourName]\Downloads
Mac: ~/Downloads
iPhone/Android: Files app → Downloads (location may vary by browser)

To move to another device: copy the .json file to the new device, then Settings → Import Backup → select your file.
⚠️ Tip: Export a backup before clearing your browser, switching devices, or doing a browser update.
❓ FAQ
Does it work offline?
Yes. Once the file is open in your browser, it works with no internet connection. No Google account, no login, no subscription.
Will my data be lost if I close the browser?
No — data is saved to your browser automatically as you work. It persists between sessions. The only risk is if you clear your browser storage, which is why regular backups are recommended.
Can I use it on my phone?
Yes. Open the HTML file in Safari or Chrome on your phone. The layout adapts to mobile screens.
Can I use it with the FieldKit Quote Generator?
Yes — both tools share the same settings (business name, currency, tax rate). Open both files in the same browser and your settings carry across automatically.
A job is stuck on Overdue — how do I fix it?
Open the job detail panel and click the correct status in the pipeline (e.g. Paid). The app auto-marks jobs Overdue when the due date passes, but you can always override manually.
How do I record a partial payment?
Open the job, scroll to Record Payment in the detail panel, enter the partial amount, pick the method, and hit + Record. Repeat for each payment. The balance updates automatically each time.
