💾 Backup & Restore
Export all trips, job log entries, vehicles, and settings to a file. Import it to restore — useful if you clear your browser or switch devices.
📁 Backups download to your device's default Downloads folder (or wherever your browser saves downloads) as a .json file.

Region & Units
These set sensible defaults — distance and currency labels everywhere, and the suggested tracking-start date for new vehicles. FieldKit is built US-first, but works anywhere.
Vehicles
Mileage Rates
Most tax authorities set a new standard mileage rate each year (the IRS in the US, for example). Rates are matched to a trip automatically based on its date — update this each year, or add prior years for late entries.
Favorite Trips
Quick-add buttons that appear at the top of the Mileage Log for routes you drive often. They pre-fill from/to/category — you still enter the actual odometer reading each time.
Team Mode
Multiple drivers
Turn on if more than one person logs trips or jobs. Adds a Driver field and driver list.
Danger Zone
Permanently delete all trips and job log entries. This cannot be undone.

Mileage & Job Log Tracker
User Guide · By Tallybox
Log every business mile and every day's work — no spreadsheet, no subscription, no account required.
🚀 Quick Start
1
Set your Country, Distance Unit, and Currency in Settings
This sets sensible defaults everywhere else in the app — takes ten seconds.
2
Add your vehicle
Enter its odometer reading as of your tracking start date — defaults to the start of your country's tax year, but you can pick any date (handy if you just bought the vehicle).
3
Log trips with + Add Trip
The odometer start reading pre-fills from your last trip. Set up Favorite Trips for routes you drive often, and tick "Also log a Job Log entry" if you're doing both at once.
4
Check the Dashboard at tax time
See your quarterly mileage breakdown and estimated deduction. Export to CSV to hand straight to your accountant.
🚗 Mileage Log Explained
Trips are logged by odometer start and end, not estimated distances. It's a little slower than typing in a flat number, but it's what most tax authorities actually expect from a contemporaneous mileage log — and it's far harder to dispute in an audit than "about 10 miles."
BusinessDriving to/from job sites, suppliers, the bank — deductible.
CommutingHome to a regular workplace — generally NOT deductible.
PersonalEverything else — not deductible, tracked for your records.
MedicalTravel for medical care — may be itemizable separately.
CharityVolunteering for a qualified charity — its own fixed rate.
OtherDoesn't fit the rest — tracked for your records, not deductible.
These five categories follow the US IRS framework. Outside the US, Business and Personal are the two that matter most — use whichever others are useful for your own records.
🚙 Vehicles & Business-Use %
Each vehicle tracks an odometer reading from its tracking start date (defaults to the start of your country's tax year, but you can set any date — useful for a vehicle bought partway through the year) and its current reading. The gap between them is your total tracked miles — business miles logged divided by that total gives your business-use percentage, a number your accountant will want.
If you only ever add one vehicle, the vehicle switcher stays hidden everywhere to keep things simple. It appears automatically once you add a second one.
🧰 Job Log Explained
The Job Log is a daily field diary — what you did, how long it took, and what you used. It's independent of mileage, but if you type the same client name in both, they're easy to find side by side when you search. You can also create a job entry directly from the Add Trip form by ticking "Also log a Job Log entry."
Set status to Complete when a job is done, or Follow-up needed if you have to go back — useful for spotting what's still open at a glance.
👥 Team Mode
Off by default for solo operators. Turn it on in Settings if more than one person drives or logs jobs — it adds a Driver field to trips and job entries, and a simple driver list. No logins, just names.
💰 Rates & Deduction Estimates
Not tax advice. This app calculates an estimate using the mileage rate you enter in Settings. It doesn't know which deduction method you've chosen, your full tax situation, or current rules in your country. Always confirm figures with a licensed tax professional before filing.
❓ FAQ
Does it work offline?
Yes. Once the file is open in your browser, it works with no internet connection — no account, no login, no subscription.
Will my data be lost if I close the browser?
No — data saves automatically to your browser as you work and persists between sessions. The only risk is clearing your browser storage, which is why regular backups are recommended.
Does this work outside the US?
Yes — set your Country, Distance Unit, and Currency in Settings → Region & Units. The preloaded rates default to the US IRS rate, but you can edit or add rates to match your own country's scheme.
Why odometer readings instead of just typing in the distance?
It matches what most tax authorities actually want from a mileage log, and it's far more credible if you're ever asked to back up a deduction.
Can I add mileage rates for a prior year?
Yes — go to Settings → Mileage Rates → + Add Year. Each trip uses the rate that matches its own date.
Can I use this on my phone?
Yes — it's built mobile-first. Open the HTML file in Safari or Chrome on your phone and add it to your home screen for quick access from the truck.
