All data is saved in your browser's local storage — nothing leaves your device. Back up regularly, especially before clearing browser data.
Before creating quotes or invoices, go to Settings and fill in your business name, trade, address, phone, email and licence number. This information appears on every document you send to clients.
In Settings → Invoicing & Quotes, choose whether to apply sales tax, set your rate (e.g. 8.6%), and give it a label (e.g. "Sales Tax"). You can also set your default payment terms and bank details here.
The typical flow is: Add a client → Create a quote → Convert to invoice when approved → Record payment. Everything connects automatically — the client history, the tracker, the dashboard.
Tap + Add Client in the Clients section. Fill in their name, phone, email and address. You can also set a lead status and source so you know where your work is coming from.
Open any client and scroll to Full History to see every quote, invoice, expense, trip and note linked to them — all in one place, in date order.
If a client has a bad debt or dispute, toggle Do Not Service in their profile and add a reason. A warning will show whenever you open that client.
If you fill in client details directly in the Quote Builder without picking from the CRM, FieldKit will automatically save that client to your client list when you save the document.
Go to Quotes. Pick a client from your list or type their details in directly. Add a job description, then fill in your line items — description, quantity, and unit price. The total calculates automatically including tax.
Quotes are numbered Q-101, Q-102 etc. Invoices share the same counter — so if Q-101 is your last quote, the next invoice will be INV-102. This keeps all your document numbers unique and in sync.
Tap Save to Docs. The document is saved locally and you’ll be taken straight to the Invoice Tracker where it appears as a new job.
Tap Save PDF in the builder. Your browser’s print dialog will open — choose "Save as PDF" as the destination. The document prints cleanly without any of the app interface.
Open the quote in the Invoice Tracker, change its status to Approved, then tap Convert to Invoice. The builder opens with all the same details pre-filled and a new INV- number assigned. Review, then save.
Open the job in the Invoice Tracker and tap Edit Quote or Edit Invoice. This takes you back to the builder with everything loaded. Make your changes and save again.
Quotes move through Draft → Sent → Approved. Invoices move through Invoiced → Paid. A job goes Overdue automatically when the due date passes and it’s still unpaid.
Open a job and scroll to Record Payment. Enter the amount received, choose the payment method, and tap + Record. The balance updates immediately. Record multiple partial payments if needed.
You can record a deposit on an approved quote using the same Record Payment section. The deposit amount will carry across when you convert the quote to an invoice.
The Reports tab shows Aged Receivables (who owes you money and for how long) and a full Payment Log. Use this for end-of-month reconciliation or to chase overdue accounts.
Tap CSV in the tracker toolbar to download all visible jobs as a spreadsheet. Use the filters first to narrow down what you export — e.g. filter by Paid to export completed jobs only.
Fill in the date, amount, category and description. You can optionally link it to a client and job number — select the client first and the job dropdown will show only their jobs.
Tick Add markup to calculate a charge-out price on top of your cost. Set your default markup percentage in Settings → Expenses. Useful for materials you’re on-charging to a client.
Tick Tax-deductible on any expense you plan to claim. The Expenses Summary and Dashboard will show your total deductible amount separately so it’s easy to pull together at tax time.
For regular costs like insurance or subscriptions, tick Recurring when adding the expense and set the frequency. The Recurring tab will remind you when the next one is due so you don’t miss it.
Go to Settings → Expenses to add your own categories on top of the 9 built-in ones. You can also add and manage your vendors/suppliers there.
Go to Mileage. Optionally select a client first — the destination will auto-fill from their address. Enter your odometer start and end readings and FieldKit calculates the distance. You can link the trip to a specific job.
Set each trip as Business, Commuting, or Personal. Only Business trips count towards your deduction estimate. The Dashboard shows your business use percentage based on total odometer readings.
Add your vehicles in Settings → Mileage. Each trip is logged to a specific vehicle. The Dashboard lets you filter by vehicle to see mileage and deductions per vehicle separately.
The Labour tab is for logging time on site — hours worked, what was done, and any materials used. Link entries to a client and job so they appear in the client’s history. Use the status to flag jobs that need a follow-up.
Set your IRS standard mileage rate in Settings → Mileage. FieldKit uses this to estimate your tax deduction. Always confirm final figures with your tax professional.
The Dashboard gives you a snapshot of the whole business — money invoiced, collected, outstanding, and expenses — all in one place. Use the period selector in the top right to switch between This Month, Quarter, Year, or All Time.
Each section — Invoices, Expenses, Mileage, Labour — can be collapsed by tapping the header. Your collapsed/expanded state is remembered while you’re in the app.
All your data stays on your device in your browser’s local storage — nothing is sent to any server. This means it’s private and works offline, but it also means you are responsible for backing it up.
Go to Settings → Data & Backup and tap Download Backup. Save the JSON file somewhere safe — cloud storage, email it to yourself, or save it to a USB drive. Do this regularly, especially before clearing your browser data.
Tap Restore Backup, select your saved JSON file, and your data will be loaded back in. This also works to transfer your data to a new device or browser.
If you clear your browser’s cache or site data, FieldKit data will be wiped. Always download a backup first. The storage indicator in Settings → Data & Backup shows how much space you’re using.
